Speakers

Every speaker checked before you book them.

A contract that ends before the program date, or a cap used up by another brand's programs, usually turns up after the invitations are out. Then the planner rebooks and explains it to the client. Pharmagin checks each speaker against the client's standard operating procedure (SOP) at the moment the planner chooses them.

The Add Speaker dialog: eligible speakers with their topic, contract dates and distance, and a schedule warning listing another program the speaker is booked for at the same time.

Block or warn

Some speaker rules stop the step. Some only flag it.

The client decides which. A speaker over the honorarium cap can't be added. A speaker booked for another program that day is flagged, and the planner decides with that booking in view.

The same choice can also check exclusion lists, license status, and a yearly program limit, when the client's SOP calls for them.

ProblemEach brand pays this speaker a different fee.

The fee for this program is the one that applies.

Each contract holds its dates, its fees, and its annual cap. The fee can differ by tier, brand, or service. Pharmagin uses the most specific one for the program, and the cap decides whether the speaker can be added. The balance left shows only to the people allowed to see it.

A speaker's contract: start and end dates, the fee per event, the honoraria cap, honoraria paid to date, expenses, and a balance of $0.00 because the cap is reached.

ProblemThe speaker trained on last year's deck.

Topic training is checked at choice. Materials carry their expiry dates.

A speaker whose training on the topic is pending or suspended can't be added. The content library shows which materials are current, and when each one expires.

A speaker's topic qualifications: three topics qualified with training and qualification dates, and two still pending training.

ProblemSpeakers email the planner for every document.

Speakers handle their own part.

In the speaker portal, each speaker sees their own programs, contract, and training. They send claims with receipts from there, and the planner reviews them.

A speaker's portal: their programs with date, program type and topic, and whether each one still has expenses to submit.

Speakers are healthcare professionals (HCPs) too: each honorarium, trip, and meal lands on the speaker's one record, and Aggregate Spend reports it with everything else the HCP received.
