Reporting and program quality

How every program went, in 18 reports.

When a client asks about last quarter's programs, someone on your team builds the answer from sign-in sheets and spreadsheets. Pharmagin's reports read the same records the programs run on: attendance and reach, speaker scores, and spend per healthcare professional (HCP).

At a Glance report for one client workspace: events, total spend, average cost per event, attendees, and events and spend by status.

Program quality

ProblemThe brand team can't tell how a program went.

Attendance, walk-ins, and repeat attendance, for every program.

Attendance & Engagement shows the attendance, no-show, and walk-in rates for completed programs. It splits them by format, specialty, and territory, and counts the HCPs who came back. The Speaker Scorecard turns attendee and rep surveys into a score for each speaker.

Attendance and Engagement for the program year: four rates across the completed programs, with attendance by format below.

Monitor

See the outliers before your client's compliance team does.

Some rules watch across programs instead of stopping one. Reports flag the speakers near their annual cap, the HCPs who attend most often, and the programs with the highest spend.

Monitor
Speaker utilization, highest first: one speaker has used 100% of the honoraria cap and two are at 80%, with the cap, amount used and balance for each.

ProblemOpen Payments data gets rebuilt from receipts at year end.

Spend per HCP, ready the day each program closes.

Aggregate Spend shows what each HCP received across the client's closed programs. It marks what is reportable and what is excluded, with the reason, and exports for Open Payments and state reports. Fix an HCP's record once, and every row follows.

Aggregate spend for the program year: reportable spend across 308 recipients, and excluded spend for 9 recipients that cannot be reported yet because they have no NPI.

ProblemA regional lead asks which requests are stuck.

Where each request waits, and for how long.

The approvals queue shows each request waiting for approval, who holds it, and how many business days it has waited. The longest wait sits at the top.

Programs pending approval, longest wait first: each row shows who the approval is pending with, how many days it has waited, and the approval step.

ProblemNobody knows which certifications are still unsigned.

Every post-program certification, signed or still open.

The planner sees which reps have not certified their programs, and follows up before close.

Programs still missing a signed post-program certification, with event date, brand, territory and sales rep.
